Document Verification for Landlords
Structured verification for rental application documents
Fidem extracts and verifies fields from submitted pay stubs and bank statements. It surfaces inconsistencies, identifies items for review, and keeps a structured workflow record — without making the tenancy decision.
The challenge
Reviewing rental documents is harder than it looks
Pay stubs and bank statements are hard to review consistently
Documents come from dozens of payroll systems and banks in different formats. Manually checking income figures, pay periods, and deposit patterns is time-consuming and error-prone.
Small inconsistencies are easy to miss under time pressure
Missing YTD figures, mismatched pay periods, or deposit totals that do not align with stated income require careful cross-referencing — work that is difficult to do reliably without structure.
Review decisions need to be documented and traceable
When questions arise later about what was reviewed and what was found, most landlords have no structured record — only emails, notes, or memory.
How Fidem helps
From submitted documents to a structured review record
Fidem does not replace your judgment. It structures the information so your review is faster, more consistent, and better documented.
Field-level document extraction
Income figures, pay periods, employer details, bank balances, and deposit counts are extracted from submitted documents and structured for review.
Deterministic verification checks
Each field is evaluated against documented verification rules. Checks are deterministic — the same document produces the same result every time, with no black-box scoring.
Inconsistency surfacing
Items that may need closer review are identified and presented clearly. You see what was checked, what the signals indicate, and which items warrant follow-up.
Structured review workflow
Start a review, add internal notes, request additional documentation, and mark the review complete — with a full activity record for every verification.
What reviewers actually see
How verification signals are presented
The verification report presents each check, its result, and the supporting evidence — organized by category. Below are examples of how findings appear in the report.
Income Verification
ExampleCurrent-period gross income present
Gross pay for the current pay period is present and within the expected range for the stated pay frequency.
Income Verification
ExampleYear-to-date income consistency
The year-to-date gross figure does not align with expected accumulation given the stated pay frequency. Review recommended to confirm pay period start date.

YTD figures checked against bank statement. Largest deposit on Dec 15 aligns with stated income. The January YTD discrepancy is consistent with a mid-year start date — confirmed with supplemental documentation.

Income documentation reviewed. Cross-document consistency confirmed.

The process
A repeatable verification workflow
Create a verification
Create a verification for the rental applicant. Optionally link it to your internal reference number for tracking.
Upload submitted documents
Upload the pay stubs and bank statements provided by the applicant. Documents are stored privately and are not publicly accessible.
Extraction and verification
Fidem extracts document fields and runs verification checks. Processing typically completes within a few minutes.
Review the structured report
A verification report presents each check, its result, and the supporting evidence — organized by category so you can scan efficiently.
Complete the review or request more documentation
Add internal notes, request additional documentation if needed, and mark the review complete when finished. Every action is recorded.
Verification scope
What Fidem extracts and verifies
Checks are deterministic and based on documented verification rules. The same documents produce the same results every time.
Income figures
Gross pay, net pay, and year-to-date figures from submitted pay stubs.
Pay period and pay date
Pay period start and end dates, stated pay frequency, and pay date.
Employer information
Employer name and address as listed on submitted pay stubs.
Account balances
Opening, closing, and average balances from submitted bank statements.
Deposit patterns
Total deposits, payroll deposit identification, and deposit count.
Cross-document consistency
Consistency checks across submitted documents where information overlaps.
Scope boundary: Fidem verifies information present in submitted documents only. It does not access credit bureaus, background check providers, eviction databases, or any external data sources. Verification results reflect what was submitted — not any external record.
Important to understand
Fidem surfaces verification signals.
You make the tenancy decision.
Fidem is a document verification tool. It identifies verification signals and inconsistencies in submitted documents. It does not make tenancy recommendations, produce eligibility determinations, or substitute for your judgment as a landlord or property manager.
- Fidem does not make tenancy recommendations of any kind
- All rental decisions remain with the landlord or property manager
- Fidem does not provide credit reports, background checks, or eviction records
- Verification results describe document signals only — not applicant suitability
- Inconsistencies identified in documents require human review and judgment
Security and privacy
Documents are stored privately and securely
Private document storage
Submitted documents are stored in private, access-controlled storage. There are no public-facing document links — access requires authentication.
Authentication required
All document access, upload, and review operations require account authentication. Unauthenticated access to submitted documents is not possible.
Sensitive documents handled carefully
Pay stubs and bank statements contain sensitive financial information. Fidem handles submitted documents with appropriate care and does not share them outside the verification workflow.
