Privacy Policy

Overview

Fidem operates a document verification workflow platform for landlords and property managers. This privacy policy describes how Fidem collects, uses, stores, and handles information when you use the service.

Fidem is an early-stage platform. We aim to describe our actual data practices accurately. If you have questions not answered here, contact privacy@usefidem.com.

Information we collect

Account information

When you create an account, we collect your email address. We do not collect payment information directly — payment processing, if applicable, is handled by a third-party payment processor.

Submitted documents

Documents uploaded through the platform (pay stubs, bank statements) are stored in private cloud storage associated with your account. These documents are processed for field extraction as part of the verification workflow.

Verification workflow data

We store verification records, extracted field data, verification reports, review actions, and activity logs. This data is associated with your account and organization.

Usage information

We collect standard server-side access logs for operational purposes (error tracking, performance monitoring). We do not currently use third-party analytics tools that track individual user behavior on the client side.

How we use information

We use collected information to:

  • Provide the document verification workflow service
  • Process uploaded documents and generate verification reports
  • Maintain the activity and audit record for each verification
  • Authenticate users and manage sessions
  • Investigate errors and monitor service health
  • Respond to support and privacy inquiries

We do not use submitted documents or extracted data to build scoring models, train AI systems, or produce tenant assessments beyond the immediate verification workflow.

Document storage and access

Submitted documents are stored in private, access-controlled cloud storage. There are no public-facing document links. Access to stored documents requires authentication and authorization to the associated verification workflow.

Documents are processed by internal systems for field extraction. Raw document files and extracted field data are not shared with third parties outside the document processing workflow.

Data retention

We retain verification records and associated documents for a reasonable period following the completion of a verification workflow. We do not currently enforce an automatic deletion policy, but we will delete your data upon request.

Account information is retained while your account is active. You may request deletion of your account and associated data by contacting privacy@usefidem.com.

Third parties

Fidem uses the following third-party services in its operations:

  • Supabase — authentication, database, and storage infrastructure.
  • AWS (Amazon Web Services) — document processing infrastructure (used via Supabase and direct service integrations).

We do not sell or share your information with third parties for marketing purposes. We do not share submitted documents with tenant screening bureaus, credit agencies, or background check providers.

Verification scope

Fidem is a document verification workflow tool, not a credit bureau, background check service, or eviction record provider. Verification results describe signals extracted from submitted documents only. They do not constitute tenant assessments or tenancy recommendations.

All tenancy decisions are made by the landlord or property manager, not by Fidem.

Your rights

You may request access to, correction of, or deletion of your personal data by contacting us at privacy@usefidem.com. We will respond within a reasonable timeframe.

If you are located in the European Economic Area (EEA) or the United Kingdom, you may have additional rights under GDPR or UK GDPR. Please contact us to discuss these rights.

Policy changes

We may update this privacy policy as the service evolves. If we make material changes, we will notify users by posting an updated policy with a new effective date. Continued use of the service after a policy update constitutes acceptance of the revised policy.
