From document upload to structured review record

Fidem organizes the document verification workflow for rental applications. This page walks through every step — from creating a verification to marking the review complete.

The workflow

Seven steps from creation to completion

  1. 01
    Setup· < 1 minute

    Create a verification

    Start a new verification workflow for a rental applicant. Optionally add an internal reference number to link the verification to your own records.

    The verification is created in draft status. No documents are processed at this stage. You can add documents immediately or return to the verification later.

  2. 02
    Documents· 1–2 minutes

    Upload submitted documents

    Upload the pay stubs and bank statements provided by the applicant. Documents are uploaded directly to private, access-controlled storage — not through your email or third-party file sharing.

    Supported formats are PDF, JPEG, and PNG. Documents up to 20 MB each. Each uploaded document is assigned a unique ID and its processing status is tracked individually.

    ProcessingAutomated· 2–5 minutes

    Extraction and verification checks

    Fidem extracts fields from each document — income figures, pay periods, employer details, account balances, and deposit counts — and runs verification checks against documented rules.

    Checks are deterministic: the same document always produces the same result. You can monitor processing status from the verification workspace. If extraction fails for a document, you can retry processing or upload a replacement.

    ReportAutomated· Immediate after processing

    Verification report generated

    A structured verification report is assembled from the check results. The report presents each finding with its outcome, an explanation, and the supporting evidence — organized by category.

    Finding categories include income verification, employment verification, banking verification, document completeness, and cross-document consistency. Each finding is marked as passed, for review, unable to evaluate, or not evaluated.

    Review· Whenever you're ready

    Start the internal review

    When the report is available, start an internal review. The verification workspace shows the full report alongside the review workflow panel. You can navigate between findings, evidence, and your review notes.

    Starting the review changes the verification's status to "In Review" and records the event in the activity log. You can add internal notes at any point during the review.

  6. 06
    Review

    Request additional documentation (if needed)

    If the report surfaces items that require additional documentation before the review can be completed, you can mark the verification as requiring additional documentation. This records the request in the activity log.

    The verification status changes to "Additional Documentation Needed". When documentation is received, you can resume the review. Additional documents can be uploaded to the same verification workflow.

  7. 07
    Completion

    Mark the review complete

    When your review is finished, mark the verification review as complete. You can optionally add a closing note. The completion event is recorded in the activity log.

    A completed review produces a full activity record: all uploaded documents, processing events, verification report, review notes, and the completion event. This record is available for future reference.

What this workflow produces — and what it does not

Completing a verification workflow produces: a structured verification report with findings, evidence, and a complete activity record.

This workflow does not produce: credit scores, background check reports, eviction histories, employment verification letters, or tenancy recommendations. Fidem does not make or imply tenancy decisions of any kind.

The decision about whether to proceed with a rental applicant remains entirely with the landlord or property manager. Verification results describe document signals only — not applicant character or suitability.
